With one year to go, the path to your dream wedding begins to take shape. This is the phase where inspiration meets action—where you set priorities, create structure, and make thoughtful decisions that will guide the months ahead.


🌸 Set Your Wedding Date and Determine Your Preferred Season

Consider the time of year that best suits your style, availability, and desired atmosphere. Whether you envision springtime blooms, autumn foliage, or a midsummer celebration, your season will inform everything from your color palette to dress code.


💰 Decide on a Budget and Discuss Priorities

Establishing a clear budget early on helps you allocate resources and make empowered choices. Discuss what matters most—whether that’s guest experience, stunning décor, gourmet dining, or live entertainment—and begin shaping your planning around those values.

Your venue is the heartbeat of your celebration and touring early allows you time to connect emotionally with the setting, align logistics, and move forward with confidence in your choice. When visiting various venues, pay close attention to the overall atmosphere and how each space makes you feel. What were your initial thoughts while walking through? Did you feel excited, calm, nervous, or anxious? Consider the communication you've had so far—has it been responsive and professional? And perhaps most importantly, how do you believe the team would handle any unexpected challenges that arise?

Create an initial guest list to guide your planning decisions and vendor communication. Start gathering mailing addresses so you’re ready for save-the-dates and formal invitations in the coming months.



💒 10–11 Months Before: Assemble Your Dream Team

With your wedding vision starting to take shape, it's time to bring together the creative professionals who will bring it to life. This phase is all about booking key vendors, diving into design decisions, and setting up experiences that will delight you and your guests.


📸 Book Your Photographer and Other Key Vendors

Book your photographer, florist, DJ/Band, and other vendors - Your venue knows these key players better than anyone so tap into them for some great recommendations. The Lotus Ranch not only has great recommendations for every vendor you would need, but we also love to help support local and family-owned businesses. We're happy to share our Preferred Vendor List with all of our couples.


🍽️ Choose a Caterer

Food is one of the most memorable parts of any celebration, which is why exploring your catering options is high on the priority list. Your venue should have a list with a variety of catering services to fit any budget and taste preference. They're Preferred Catering List should include carefully selected caterers who are familiar with their venue and are known for providing a high level of service, quality, and professionalism.


🧁 Schedule Tastings, Consults, and Tours

Beyond catering, you can also start scheduling dessert tastings, floral design viewings/consults, or venue walk-throughs for layout and decor planning. If you're budget doesn't allow for a wedding planner, bring along one of your creative friends or relatives. These experiences will help inspire creative ideas that evolve into your dream wedding. Here at The Lotus Ranch we love having our brides come through a couple of times to talk about layout and decor. We have many different centerpieces, linins, ceremony settings, and social hour decorations that can be used during your celebration or simply set up to help you visualize what you might want to purchase.


👗 Start Exploring Dress Styles and Booking Fittings

Begin researching gowns or outfits that reflect your personality and event style. Try on different silhouettes to find what feels best. Order early to allow time for fittings and alterations. You may also want to coordinate bridesmaid attire around this time.


🏨 Reserve Accommodations for Out-of-Town Guests

Book hotel blocks or nearby lodging so guests can plan their stay with ease. Share details in advance via your wedding website or send out 'save-the-date' cards to ensure everyone feels included and has time to prepare for your celebration. Ask your venue if they have any special arrangements with local hotels to receive discounts or free shuttle services to certain hotels. The Lotus Ranch is working to provide transportation for at least two different nearby hotels in 2026 as an extra convince to our couples.



🎨 8–9 Months Before: Design and Personalize


Now that the big foundational decisions are in place, it’s time to make your celebration feel uniquely yours. This is the creative phase—where inspiration meets execution and your personal style begins to shine through each detail.


🎀 Finalize Your Wedding Theme, Color Palette, and Overall Aesthetic

Consider how you want your day to feel—elegant, rustic, whimsical, modern? Refine your color palette and design elements to reflect your personality, the season, and your venue’s architecture. Create a mood board or Pinterest collection to visualize florals, textures, and lighting.


👗 Order Your Dress If Custom or Made-to-Measure

If your gown is custom, made-to-order, or requires special tailoring, now’s the ideal time to make your purchase. This gives plenty of time for multiple fittings, accessories, and any bridal party coordination. Begin considering shoes, veil, jewelry, and other styling details.


🎶 Confirm Entertainment—DJ, Band, or Ceremony Musicians—and discuss playlists

Whether you dream of a string quartet for your vows or a dance-ready DJ for your reception, secure your performers early—especially popular ones who book out months ahead. Then ask for a sample of their playlists. Discuss what style of music you would like and suggest some songs. Additionally, some couples love the idea of including sentimental touches like a Father-Daughter dance or a Dollar Dance. Others are skipping tradition and trying something fresh! If you're leaning toward one or the other, it's a great idea to chat with your DJ and plan what feels most meaningful for you.

If your venue doesn’t include full décor or furniture, begin sourcing rentals for items such as high-top tables to use during the social hour, platforms, arches, or hexagons for your ceremony, different statement pieces that reflect your theme. Your venue may have some of these so be sure to check with them, but specific pieces that reflect your unique personality will be something you will want to keep an eye out for over the next eight months.

As the big day gets closer, this phase is all about locking in essential details and building the framework of your celebration. From attire to ceremony planning, each step brings your vision into clearer focus.

At this stage, your wedding date and location are usually locked in—making it the perfect time to alert guests. Save-the-date cards help guests arrange travel and accommodations early, especially if you're hosting a destination event or inviting out-of-towners. Confirm guest transportation—especially if your ceremony and reception are in separate locations. Book shuttles or buses for convenience and safety, and choose a bridal car that reflects your style, whether that’s a vintage vehicle, limo, or something unique.
